5.2        Employee Deactivation

Why should I use this form?

Use this form to deactivate an employee who has left the organization without any notice or if the Organization does not have a defined/formal clearance process in place.  Deactivating an employee means that, the employee record is being made inactive in the Adrenalin HR System.

What are the Pre-requisites?

 

·      Reason Master should be available

·      At least one role player should be mapped to one separation type

·      Record Resignation should not be raised for this employee

·      Reassigning of Reporting Manager/Functional Reporting Manager should be done. And also, Reassign Role player has to be done.

 

Who can access this form?  

This form shall be visible to all employees to whom the visibility is given in Setup HRMS ® Module Role Mapping/ Module Administration.

Employee Name, Employee ID and OU details of the selected employee appears in the form.

Field

Description

Separation Type

List of separation types is shown in this field.  Select the separation type that applies to the employee, who is to be deactivated.

Resignation Reason

Select Reason.

Authorised Signatory

Select the Authorised Signatory for the deactivation activity.

Note: List of Employees who are mapped as AUTHSIGN role players in Manage Role Player form is shown in this drop down field.

Resignation Letter Date

Select the date when the resignation letter was received from the employee.

Actual Relieving Date

Select the date when the employee is relieved from the organization.

Notice Period

Shows the notice period that has been given for this employee at the time of employee creation.

Notice Period Shortfall

This will be calculated as Notice Period – difference in days between the resignation letter date and actual relieving date.  For example, if the notice period is 60, resignation letter date is selected as 06-08-08, and actual relieving date is selected as 08-08-08.  Here, the notice period shortfall days is calculated as 60 – 2 (difference between the resignation letter date + actual relieving date) = 58.
