Why should I use this form?
Use this form to maintain application details such as Application Name, Owner, Version of the software, Product key of the software, Vendor, License information etc.,
Providing Access rights and restricting Access rights to Unit/Department/Grade is done in this form.
What are the Pre-requisites?
• OU, Department, Grade should be available.
• Active employee should be available
Who can access this form?
This form shall be visible to all employees to whom the visibility is given in Setup HRMS à Module Role Mapping/ Module Administration. Designated employees who would be given visibility are:
• ITFAC
• HRFAC
How to navigate to this form?
Workforce Administration à Application Access Management à IT Application Maintenance.
All the existing applications are listed in the grid. Use the filter section to filter records in the grid based on some condition.
Click the [+] icon on the left top of the grid to show / hide the grid. The field guidelines are as follows.

Application Name |
Enter Name of the application |
Employee Name |
Enter ‘@@’ in Employee Name field and select an Employee from the dropdown list. |
Software Version |
Enter version information of the Software application. |
Product Key |
Enter Product Key of the software. This will be available at the time of purchasing the software. |
Procurement Date |
Select the date when the software was purchased. |
Vendor |
Enter the vendor from whom the software was purchased. |
Media Type |
Select the type of procurement of the software. If it was procured in CD format or it has been downloaded. |
Description |
Enter description of the software. |
Software Location |
Enter the location where the software is available. |
License condition |
Enter the license condition of the software |
License Number |
Enter license number of the software. |
License Validity |
Select the license validity date of the software. |
Subscription Expiry |
Select the subscription expiry date of the software. |
Access to Unit |
Select the Unit(s)to which the application will be applicable. Selecting the checkbox on the top of the section will select all the listed Units. |
Access to Department |
Select the Department(s) to which the application will be applicable. Selecting the checkbox on the top of the section will select all the listed Departments. |
Access to Grade |
Select the Grade(s)to which the application will be applicable. Selecting the checkbox on the top of the section will select all the listed Grades. |
Restrict to Unit |
Select the Unit(s) which will be restricted from using the application. Note: Units which are not selected under ‘Access to Units’ text box will be available for selection. If all units are selected, then no unit will be available here. |
Restrict to Department |
Select the Department(s) which will be restricted from using the application. Note: Departments which are not selected under ‘Access to Departments’ text box will be available for selection. If all departments are selected, then no department will be available here. |
Restrict to Grade |
Select the Grade(s) which will be restricted from using the application. Note: Grades which are not selected under ‘Access to Grade’ text box will be available for selection. If all grades are selected, then no grade will be available here. |
Restriction Details |
Enter reasons for restricting access to Unit / Department / Grade. |
Click [Submit] to save the details.
Clicking [Reset] will refresh the form.
